1. About these terms

These terms and conditions (“Terms”) govern your use of the Your Compliance Docs platform (“Service”), operated by Your Compliance Docs (“we”, “us”, “our”). By creating an account or using the Service you agree to be bound by these Terms. If you do not agree, do not use the Service.

2. The Service

Your Compliance Docs is a software tool that helps UK construction contractors generate compliance documents (such as RAMS, risk assessments, method statements, and COSHH assessments), track certificates and expiry dates, and create business plans.

3. Important disclaimer — not legal or professional advice

The documents and outputs generated by this Service are created using artificial intelligence and template-based automation. They are intended as a starting point and productivity aid only.

  • We do not guarantee that any generated document is legally compliant, complete, accurate, or suitable for any particular purpose.
  • You are solely responsible for reviewing, verifying, and approving all documents before use on site or submission to clients, principal contractors, or regulators.
  • The Service does not constitute legal, health & safety, or professional advice. You should seek independent professional advice where appropriate.
  • We accept no liability for any loss, injury, prosecution, fine, or damage arising from reliance on documents or outputs generated by the Service.

4. Accounts and eligibility

  • You must be at least 18 years old to use the Service.
  • You are responsible for maintaining the security of your account credentials.
  • You must provide accurate information when creating your account.
  • One person or entity may not maintain more than one free trial account.

5. Subscriptions and payment

  • The Service offers a 7-day free trial. No payment card is required to start a trial.
  • Paid subscriptions are billed monthly via Stripe. Prices are displayed on our pricing page and are subject to change with 30 days' notice.
  • Subscriptions renew automatically each month. You may cancel at any time through the billing settings or Stripe customer portal.
  • All prices are in British Pounds (GBP) and are inclusive of VAT where applicable.

6. Refund policy

  • Free trial: No charge is made during the 7-day trial period. If you do not wish to continue, simply do not subscribe — you will not be charged.
  • All subscription payments are non-refundable. By subscribing to a paid plan you consent to immediate access to the Service and acknowledge that you waive your right to a cooling-off period under the Consumer Contracts Regulations 2013.
  • Cancellation: You may cancel at any time. Your access continues until the end of the current billing period. No partial or pro-rata refunds are given for unused time.
  • Cancel before your renewal date to avoid being charged for the next period.

7. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose.
  • Share, resell, or redistribute generated documents as a competing service.
  • Attempt to reverse-engineer, scrape, or extract the underlying AI models or templates.
  • Abuse usage limits by creating multiple accounts or automating requests beyond normal use.
  • Upload malicious files or content.

8. Your data

  • You retain ownership of all data you input into the Service and all documents generated from your inputs.
  • We store your data securely using Supabase infrastructure with encryption in transit and at rest.
  • We do not sell your data to third parties.
  • If you delete your account, your data will be permanently removed within 30 days.

9. AI-generated content

  • Documents are generated using third-party AI models (OpenAI). While we design prompts to produce relevant, accurate content, AI outputs may contain errors, omissions, or inaccuracies.
  • You must review all AI-generated content before use. We are not liable for any consequences of using unreviewed AI-generated documents.
  • AI-generated business plans and financial projections are estimates only and should not be relied upon as financial advice.

10. Limitation of liability

To the maximum extent permitted by law:

  • The Service is provided “as is” without warranties of any kind, express or implied.
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
  • Our total liability to you for any claim arising from these Terms or the Service shall not exceed the amount you have paid us in the 12 months preceding the claim.
  • Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by English law.

11. Availability and changes

  • We aim to keep the Service available at all times but do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible.
  • We reserve the right to modify, suspend, or discontinue features of the Service with reasonable notice.
  • We may update these Terms from time to time. Material changes will be communicated via email or in-app notice. Continued use after changes constitutes acceptance.

12. Termination

  • You may close your account at any time from your account settings.
  • We may suspend or terminate your account if you breach these Terms, with notice where practicable.
  • On termination, your right to use the Service ends immediately. Data deletion follows the process described in section 8.

13. Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
